Free checklist

Is your business ready for the next phase of the E-Rechnung?

The free e-invoice checklist (E-Rechnung) for self-employed people, freelancers and small businesses in Germany.

Check in just a few minutes whether your business is prepared to receive, issue, process and archive e-invoices.

Free PDF · Sent by e-mail · No payment details required

The E-Rechnung is not just for large companies.

Since 2025, what counts as an e-invoice for tax purposes in Germany has changed fundamentally.

A normal PDF is not automatically an e-invoice.

At the same time, businesses must already be able to receive e-invoices – and the next transition periods for issuing them are running out.

So the key question is not just: “Can I create an e-invoice?”

But:

Does the whole process work in my business?

The checklist covers your entire e-invoicing process

  • Receiving e-invoices

Is it clear where e-invoices are sent and who handles them?

  • Issuing e-invoices

Do you know when your business has to issue e-invoices?

  • ZUGFeRD & XRechnung

Can your system process structured invoice formats?

  • Archiving

Is the original data kept completely and traceably?

  • Internal workflows

Is it clear who checks, approves and handles errors?

  • Bookkeeping

Can invoice, booking, tax amount and receipt be traced later on?

You see at a glance whether your business:

  1. needs to take action
  2. has a good foundation
  3. or is already very well prepared.

Why now?

2027 is the next important phase of the switch.

While transition rules apply to many businesses, the general transition period for certain invoice issuers already ends on 31 December 2026.

That is exactly why it pays to test your own process beforehand – not only when a customer asks for an e-invoice or an incoming invoice cannot be processed.

  1. since 2025

    Receive

Businesses in Germany must in principle be able to receive e-invoices.

  2. until end of 2026

    Transition

Paper invoices and – with the recipient’s consent – other electronic invoices such as PDF may still be issued.

  3. 2027

    Next phase

Businesses with more than €800,000 turnover in the previous year must in principle issue e-invoices; below that, the transition lasts until the end of 2027.

  4. from 2028

    Everyone

E-invoices are in principle mandatory for all domestic B2B sales.

Frequently asked questions

Is a PDF already an e-invoice?

No. Since 1 January 2025, a simple PDF is in principle not an e-invoice under the new rules. An e-invoice must be in a structured electronic format that allows electronic processing.

Does my business already have to be able to receive e-invoices?

For businesses in Germany, this requirement has applied in principle since 1 January 2025. According to the Federal Ministry of Finance, an e-mail inbox can be enough for simply receiving them.

Do I have to issue e-invoices in 2027?

That depends on your situation. General transition rules apply for 2025 and 2026. For invoice issuers with a previous-year turnover of up to €800,000, the transition period is in principle extended until the end of 2027.

What applies to small businesses (Kleinunternehmer)?

Small businesses under the Kleinunternehmer rule are exempt from the obligation to issue e-invoices. However, they must still be able to receive e-invoices.

Is the checklist tax advice?

No. It is a practical guide for reviewing your process and does not replace individual tax or legal advice.
